Terms of Service

These terms govern use of Scholara, provided by Cruze Intelligent Systems ("Scholara", "we", "us"). By registering a school or by using an account a school administrator has created for you, you agree to these terms.
What Scholara is
Scholara is software a school uses to manage its own academic, attendance, health, financial, and staff records in one place. Each school's data is separate from every other school's. Scholara operates the platform but the school controls its own records (see the Privacy Policy for the full data-controller/processor split).
Accounts
A school's administrator registers the school and is responsible for creating and managing accounts for their own staff, learners, and guardians. You're responsible for keeping your login credentials confidential and for activity on your account. Tell your school administrator immediately if you believe your account has been compromised.
Acceptable use
You agree not to:
- Access, or attempt to access, data belonging to a school you're not a member of, or a role within your own school beyond what you've been granted.
- Enter false records, or use the platform to harass, discriminate against, or endanger any student or staff member.
- Attempt to bypass, probe, or disable the platform's security controls.
- Use the service for any purpose that violates applicable law, including Uganda's Data Protection and Privacy Act 2019.
Trial & billing
A newly registered school gets a 30-day free trial starting from approval. After the trial, continued access requires a billing period marked paid, currently 3,000 UGX per enrolled student per 90-day period (Term) (see your School Settings page for your school's exact status). Billing periods are confirmed and applied by Scholara after payment is arranged with support; this isn't yet an automated recurring charge.
Data ownership
Your school owns the records it enters into Scholara. If a school's account is closed, Scholara retains the data only as long as legally required (see the Privacy Policy's Retention section) before deletion, and can provide an export on request during that window.
Availability & changes
We aim to keep Scholara available and reliable but don't guarantee uninterrupted access: maintenance, third-party outages (e.g. the payment gateway or SMS provider), or issues outside our control can cause downtime. Features described in the FAQ or elsewhere may be added, changed, or removed as the platform develops.
Suspension & termination
We may suspend a school's access for non-payment past its trial/billing period, or for a clear violation of the Acceptable use section above. A school administrator can request their school's account be closed at any time by contacting support.
Liability
Scholara is provided "as is." To the extent permitted by law, Cruze Intelligent Systems isn't liable for indirect or consequential damages arising from use of the platform. This doesn't limit any liability that can't be excluded under applicable Ugandan law.
Governing law
These terms are governed by the laws of Uganda.
Changes to these terms
If we make a material change, every user is asked to review and re-accept it the next time they sign in, and the version number at the top of this page changes.
